Subscribe in Apple, Google and Outlook

Updated

A calendar feed puts your due tasks into the calendar you already have open: Apple Calendar, Google Calendar, Outlook or any app that can subscribe to calendars. The feed is a secret address your calendar fetches regularly. It only shows tasks; you still change them in tasks.

1. Create a feed

  1. Open tasks and go to Settings → Calendar feeds.
  2. Choose New feed and give it a name, for example tasks family. That is what the calendar is called in your calendar app.
  3. Pick the workspaces whose tasks the feed should hold.
  4. Optionally:
    • Add tasks up for grabs also shows tasks nobody is assigned to in shared workspaces, marked with [?].
    • Show task numbers only shows #42 instead of the title. Good for a calendar other people see.
  5. Choose Create feed.

The feed holds the open tasks assigned to you that are overdue or due in the next 90 days. A task with a time becomes an event; one without a time becomes an all-day entry.

2. Copy the address

tasks shows the whole feed URL only now. Choose Copy. It looks like this:

https://app.tasks.squibble.ch/ics/tskcal_….ics

Treat it like a password: anyone who has it sees the tasks in the feed. If it ends up somewhere it should not, choose Replace URL. The old address stops working at once.

3. Apple Calendar

  • Mac: in Calendar choose File → New Calendar Subscription, paste the URL, then Subscribe. Set Auto-refresh to “Every 15 minutes” and Location to iCloud so the calendar shows up on your iPhone as well.
  • iPhone and iPad: Settings → Apps → Calendar → Calendar Accounts → Add Account → Other → Add Subscribed Calendar, paste the URL, then Next and Save.

4. Google Calendar

  1. Open Google Calendar in a browser. The phone app cannot subscribe.
  2. On the left, choose the + next to Other calendars, then From URL.
  3. Paste the URL and choose Add calendar.

The calendar then also shows up in the Google Calendar app on your phone.

5. Outlook

  1. Open the calendar in Outlook on the web or in the new Outlook for Windows and Mac.
  2. Choose Add calendar → Subscribe from web.
  3. Paste the URL, name the calendar and choose Import.

How fast the calendar catches up

A change is in the feed within five minutes. When you see it is up to your calendar app:

AppRefresh
Apple Calendaras often as you set, down to every 5 minutes
Google Calendaron its own schedule, often only after a few hours, sometimes up to a day
Outlookon its own schedule, usually within a few hours

For the exact state, open tasks itself. For reminders at the right time, use push and the daily overview.

Frequently asked questions

How do due tasks get into my calendar?

Through a calendar feed. In the settings you create one or more feeds, each for the workspaces you choose, and subscribe to the address in Apple Calendar, Google Calendar or Outlook. The feed holds overdue tasks and everything due in the next 90 days, without descriptions.

With “Show task numbers only” the calendar shows just the number, such as #1234, instead of the title, for a calendar others can see. When you renew the address, the old one stops working at once. How often the calendar reloads the feed is up to the calendar app.
